What do the statuses on a Change Order Sub mean?

The seven statuses on a Change Order Sub, and what happens to Cost when the change is set to Approved or Rejected

A Change Order Sub has seven statuses. The status shows where the change is in the process. The amount in the Cost field counts in the final forecast regardless of status.

Status

Meaning

Notice

The subcontractor has given notice of a possible addition, but without a specific amount.

Claim

The subcontractor has submitted a cost claim.

Offer

The subcontractor has given a price at the main contractor's request.

Approved

The cost has been clarified and agreed between the parties. Cost is set equal to the cost claim.

Rejected

The claim has been rejected. Cost is set to 0.

Disputed

The parties disagree about the claim, and the matter has not been resolved.

Withdrawn

The change is dropped in its entirety.

The amount in the Cost field counts in the final forecast regardless of status, also before the change is approved. When the change is set to Approved, Cost is set equal to the cost claim. When it is set to Rejected, Cost is set to 0. If a change should not affect the final forecast yet, leave Cost at 0.

When do you set the status to Approved?

Set the change to Approved when you have accepted the claim and agree with the subcontractor on the amount.

  1. Open the change.

  2. Change the status to Approved on the cost line, or use Set all to change all lines at once.

  3. Click Save.

Cost is then set equal to the cost claim, and the final forecast is updated. You do not need to wait until the invoice has been received.
