How do we set up a fixed monthly report for all projects?

Agree on key figures, put them in a standard formula list at organization level, and create the report on all projects in the same week every month, with posted date up to and including the previous month.

Agree on which key figures everyone should report, put them in a standard formula list at organization level, and create the report on all projects in the same week every month. That makes the reports uniform and comparable across projects and over time.

How to set it up

  1. Choose the key figures: Typically final forecast, revenue forecast, contribution margin (%), degree of completion, posted cost and posted revenue.

  2. Create a standard formula list: Put the variables in a formula list at organization level. It is used automatically when someone creates a report, together with the project's own variables.

  3. Fixed rhythm: Decide on a fixed week for reporting, for example by the 10th each month.

  4. Fixed dates: Set the posted date to the last day of the month you are reporting for, and the forecast date to today's date.

  5. Fixed name: Give the report the same naming pattern on all projects, for example "2026-09 Monthly report".

Report. 1: the report name. 2: Forecast date. 3: Posting period. 4: + Report.

Good to know

  • A saved report is a snapshot. Invoices posted afterwards do not change it.

  • With the same rhythm on all projects, you can compare each month against the previous one, also on Home.
