What do the colored status boxes above the invoice table mean?

The status boxes Received, Unlinked, Linked, All and Rejected show where the invoices are in the flow. Click a box to filter the list.

The boxes above the invoice table show how many invoices are in each status. They mirror the invoice flow in the accounting system, for example Unit4. Hover over a box to see the name and the count, and click the box to filter the list.

What do the boxes mean?

  • Received (grey): The invoice is registered or in the workflow, but not fully approved in the accounting system. It can still be re-coded.

  • Unlinked (blue): The invoice is approved and posted, but not yet linked in AIMZ.

  • Linked (green): The invoice is fully processed and linked in AIMZ.

  • All: Shows all the invoices together.

  • Rejected (red): Is at the far right and shows invoices you have rejected.

The status boxes above the invoice table under Invoice › Incoming invoice in AIMZ. 1 points to the grey Received box, 2 to the blue Unlinked box, 3 to the green Linked box, and 4 to the red Rejected box at the far right. The box between 3 and 4 is All.

How to work best

  1. Go to Invoice → Incoming invoice.

  2. Click the blue Unlinked box.

  3. Link the invoices to the right place. When they are processed, they move to the green Linked box.

Good to know

  • When you work in Unlinked, the invoice has been approved by everyone and posted. There is then little risk that the coding will be changed afterwards.
