Why does the invoice not appear in the Setup and Operation table?

The invoice must be linked to an expense item. If Invoice Link says "Production code only", or it is posted on an account without an expense item, it does not appear in the table.

An invoice only appears in Setup and Operation when it is linked to an expense item. If it is linked only to the production code ("Production code only"), it is not shown in the table.

How to fix it

  1. Go to Invoice → Incoming Invoice and find the invoice.

  2. Click the icon to the right in the cell that says "Production code only" in the Invoice Link column. The link dialog opens.

  3. Select the right expense item under Setup and Operation, for example Payroll.

  4. If it concerns many invoices, tick them and select Bulk Edit in the menu that appears.

  5. If the invoice is posted on an account that does not exist as an expense item, create an expense item for the account. The invoice then appears automatically.

The Incoming Invoice list in Invoice. 1 points to the Incoming Invoice tab, 2 to invoices shown as Production code only in the Invoice Link column, and 3 to the Edit button for changing many invoices at once.

Good to know

  • New invoices are linked to the expense item automatically. This does not apply to invoices you have changed manually, or invoices that arrived before Setup and Operation was set up.

  • An invoice on an account without an expense item stops in the invoice inbox and must be processed manually.

  • If you are unsure which expense item is right, choose the most likely one and correct it later.
