What is the difference between «Forecast» and «Highest of budget and forecast» for accrued costs?

Explains the difference between the «Forecast» and «Highest of budget and forecast» settings for accrued costs, and why the Final Forecast can end up higher than expected.

Accrued costs (expense items) can be set up with two different settings for what goes into the Final Forecast:

The setting for what goes into the Final Forecast for accrued costs

  • Forecast (default on new projects) — the simple version; the forecast figure you have set goes into the Final Forecast.

  • Highest of budget and forecast — if the budget on the expense item is higher than the forecast (e.g. because you have not yet distributed the whole budget), the budget goes into the Final Forecast instead.

In the main article Setup and Operation, the options are referred to as «Forecast drives the Final Forecast» and «Budget drives the Final Forecast».

The second setting can be confusing, since it can give a higher figure in the Final Forecast than you expect. You can see which setting is selected for your project under Settings in the top right of the Setup and Operation module. If you are unsure, contact AIMZ support.
