How do I separate labour hours and materials on the same estimate item before import?

An estimate line can have only one production code. Split the item into two lines in Excel – one for labour hours and one for materials – before you import.

An estimate line in AIMZ can contain both hours and materials, but it can have only one production code. If you want to track labour hours and materials on separate production codes, you must split the item into two lines in the Excel file before you import: one line for labour hours and one for materials.

How to prepare the Excel file

  1. Enter the item twice, as two rows.

  2. The hours line: Set the production code for labour hours. Set Quantity and Material cost to 0, and fill in Labour hours and Hourly rate.

  3. The materials line: Set the production code for materials. Fill in Unit, Quantity and Unit cost, and leave labour hours empty or at 0.

  4. You can also add a separate text column, for example between Resource and Description, that says «Hours» or «Materials». You can also write «Hours – [resource name]» in the resource field.

  5. Import the estimate as usual.

The columns in an estimate. 1: Production code, which can differ for labour hours and materials. 2: Labour hours. 3: Hourly rate. 4: Material cost.

The columns AIMZ needs

Item, Resource, Production code, Unit, Quantity, Unit cost, Material cost, Labour hours and Hourly rate. Material cost is calculated as quantity × unit cost, and labour cost as labour hours × hourly rate.

Good to know

  • If you track by account instead of production code, the same applies: each line can have only one account. Lines that belong to different cost accounts must be split.

  • When labour hours and materials are on separate codes, they are automatically separated in Prod. codes.
