Which numbers should the project manager check every week?

Check the final forecast and contribution margin (%), unlinked invoices, change orders awaiting a response, and liquidity. Four fixed checks keep the forecast correct without much work.

Go through four things every week: final forecast and contribution margin (%) on Home, unlinked invoices, change orders awaiting a response, and liquidity. That way the forecast is correct when you need to report, and you spot deviations early.

Weekly checklist

  1. Final forecast and contribution margin (%) (Home): Have the numbers changed since last week? Click into the production codes that have moved the most.

  2. Unlinked invoices (Invoice): Link new invoices to a production code, purchase, change order or Setup and Operation. An unlinked invoice does not give a correct picture of the cost.

  3. Change orders (Change Order): Filter on the statuses Notice and Claim. Follow up those awaiting a response from the subcontractor or client.

  4. Liquidity: Do the billing schedule to the client and the payment plans to the subcontractors match what actually happens?

Home. 1: Final forecast. 2: Contribution margin (%). 3: the menu items Liquidity, Change Order and Invoice.

You follow revenue through the contract, change orders and billing schedule

Revenue is driven by the contract sum, approved Change Order Client and the billing schedule to the client. Keep these up to date, and the revenue forecast will be correct without separate spreadsheets on the side.

Good to know

  • Save a report at the end of every month. Then you can compare against the previous period and see what has changed.

  • If you use Setup and Operation, close the month once the invoices for the month have arrived.
