In what order do I set up a new project?

Create the project and fill in the contract details, give access, import production codes and the estimate, add purchases, the billing schedule and Setup and Operation, and link the invoices. Each step builds on the previous one.

Set up the project in this order: project and contract details, access, production codes, estimate, purchases, billing schedule and Setup and Operation, and finally invoice linking. Each step builds on the previous one, so the order saves you cleanup later.

Step by step

  1. Create the project with the name and project number from the accounting system. The project number is what pulls in the invoices.

  2. Fill in Contract details: contract form, client, project period and contract value excl. VAT.

  3. Give access to the colleagues who will work in the project.

  4. Import the production codes.

  5. Import the estimate and set it to status Production. The production codes then get a budget and a final forecast.

  6. Check the estimate: Make sure the total cost matches the source estimate.

  7. Add purchases as the contracts are signed.

  8. Set up the Billing Schedule Client, and activate LPS if the contract is index-regulated.

  9. Set up Setup and Operation for accrued costs.

  10. Link the invoices to the costs as they come in.

Import data. 1: Account, where the production codes are imported first. 2: Estimate.

Good to know

  • Don't enter a project number on a test project. The invoices would then be pulled in there.

  • If the project is already under way, the order is slightly different. See the separate article.
