How do I link many invoices at once?

Search or filter for the invoices, tick them and select "Bulk Edit". Select production code and link, and save.

With "Bulk Edit" you can link many invoices at once, for example all payroll invoices to the expense item Payroll. It saves a lot of time when you need to clean up many invoices.

How to do it

  1. Go to Invoice → Incoming Invoice.

  2. Search or filter for the invoices, for example with the search "payroll".

  3. To take all on the same production code, click the three dots on the Production Code column and select Group by column.

  4. Mark the invoices with the checkboxes on the left. If you have grouped, use the three dots on the group row. That includes the whole group.

  5. Select Bulk Edit in the menu that appears at the checkbox in the table header (for example "2 Selected").

  6. In the dialog, select Production Code and what the invoices should be linked to under Link, for example Production code only or a specific expense item.

  7. Save.

Invoice › Incoming Invoice in AIMZ with two invoices selected. 1 points to the Search field where you search for the invoices, 2 to the selected invoice lines (ticked boxes on the left), and 3 to the Bulk Edit option in the "2 Selected" menu that appears at the table header.

Good to know

  • Use the group row for the group you want to change, not the top row of the whole table. Otherwise you select all the invoices.

  • It can take a little while before the change is processed. After that, posted is updated in Setup and Operation.

  • Bulk editing is useful when older invoices need to be linked again, for example after you have set up Setup and Operation.
