How do I handle a combined invoice from the builders' merchant when we have own production?

If the cost is to be split across several production codes, the invoice must be split in the invoice system. Alternatively, post it to one code and distribute it in Own Production.

AIMZ shows the cost on the production code or codes the invoice is coded to in the accounts. If a combined invoice from the builders' merchant is to be split across several production codes, it therefore has to be split across the codes when it is processed in the invoice system. A simpler alternative for own production is to post the invoice to one main code and register the distribution in Own Production.

Option 1: Split the invoice in the invoice system

  1. When the invoice is processed in the accounting or invoice system, code the amount to the relevant production codes, for example mouldings, insulation and steel studs.

  2. The invoice comes into AIMZ with one line per production code.

  3. The cost is shown on each code in Prod. codes.

Option 2: One main code and distribution in Own Production

  1. Post the entire invoice to one main code for the own production.

  2. Go to Own Production and manually register actual cost and quantity per line and month, based on the contents of the invoice.

  3. The posted cost on the main code is the actual result, while Own Production gives you the forecast per work package and line.

The invoice list in the Invoice module. 1: the Production code column, which shows which code each invoice or invoice line is linked to. 2: the Invoice amount column.

Which option should I choose?

  • Choose option 1 when you want to see the exact posted cost per production code.

  • Choose option 2 when there are many combined invoices and splitting each one would be too much work.
