How should the estimate be structured when we track by account?

Import the estimate at the lowest level, with one account per estimate line. The sum of the lines per account becomes the budget per account.

When the project is tracked by account, import the estimate at the lowest level with one account on each estimate line. The sum of the lines per account becomes the budget per account, and invoices received on the account can be tracked against it.

How to structure the estimate

  1. Export the estimate at the lowest level, i.e. the estimate lines, one line after another, to Excel or CSV.

  2. Make sure each estimate line has one account.

  3. If an item contains both hours and materials or machinery belonging to different cost accounts, split it into separate lines, for example one line for the machine and one for the operator.

  4. Feel free to include other dimensions as columns, for example item, item code, description, heading and resource. You can group the table by them in AIMZ.

  5. If you also want a production code, put it in a separate column with one production code per line. The column can be hidden and used for grouping later.

  6. Import the estimate.

An estimate in AIMZ. 1: Group, where you group the estimate, for example by account. 2: Total cost, which is summed per group. 3: the Production code column.

Good to know

  • Whether a line is a «time resource» or a «resource» does not matter. What matters is which cost account it belongs to.

  • Lines without an account are collected under «no account». They are included in the final forecast, but invoices cannot be linked to them.

  • Whether the project is tracked by account or production code is chosen in the project settings.
