Can I calculate accrued payroll cost from hours before payroll is posted?

Yes. With a time-tracking integration and a custom column that multiplies hours by an hourly rate, you get an accrued cost before payroll is posted.

Yes. If you have an integration with your time-tracking system, accumulated hours come in per production code continuously. With a custom column that multiplies the number of hours by an hourly rate, you get an accrued payroll cost before payroll is posted. The figure won't match the accounts exactly, but it arrives earlier and is often good enough for the forecast.

How to set it up

  1. Make sure the hours come in per production code from the time-tracking system.

  2. Open the column selector in Prod. codes and go to Custom columns.

  3. Create a new variable with a formula that multiplies the hours by the hourly rate you use.

  4. Give the column a name, for example «Accrued payroll (hours)», and save.

  5. Show the column next to Posted, so you can see the difference between accrued and posted payroll.

Prod. codes. 1: Columns, where you add a custom column, for example for accrued payroll. 2: the Posted cost column, which the custom column can sit next to.

Without an integration

Without a time-tracking integration, the hourly cost must be entered manually. Many only get the payroll cost as a lump sum from the accounting system.

Good to know

If hours are recorded on a production code and the code contains several accounts, AIMZ doesn't automatically know which account the hours belong to. You then need a rule, for example an allocation ratio per account. If there is one account per production code, it works directly.
