How should I name contracts and purchases in Purchasing?

Give the contract a name that describes the work, and put the supplier in its own field. Then you can group by supplier and code.

Give each contract or purchase a name that describes the work to be delivered, for example «Demolition and remediation», «Scaffolding» or «Electrical work». Put the supplier in the separate Supplier field. This makes the Purchasing table easier to read, and you can group and filter by both work and supplier.

How to do it

  1. When you create the purchase, enter what the work covers in the Name field.

  2. Select the company in the Supplier field, if you have it.

  3. Select Type: Contract for agreements with a fixed scope, or Purchase for one-off purchases.

The Purchasing table. 1: the Name column with descriptive contract names. 2: the Production code column. 3: the Supplier column.

What do you get out of it?

  • Group by supplier to see all contracts per supplier.

  • Click the production code chip on a purchase to see all purchases on the same code together, for example several consultants on the same consultancy code.

  • Sort by status to separate planned purchases from those that have been purchased.
