How do I register a new contract in Purchasing?

Select New contract, enter name, type and supplier, add a cost line with status, production code and amount, upload the contract and save.

You register a new contract with New contract in Purchasing or from within the production code. Enter name, type and supplier, add one or more cost lines with status, production code and contract amount, and save. The final forecast on the code updates immediately.

How to do it

  1. Go to Purchasing and select New contract. You can also open the production code and click New contract there.

  2. In the General tab, enter a Name, for example «Plumbing work», and select Type: Contract.

  3. Search for the Supplier. Companies you have used before appear under Saved companies, and new ones are fetched from the Brønnøysund Register Centre (Enhetsregisteret).

  4. Under Costs, add a line with Status, Production code and Cost (the contract amount excl. VAT).

  5. Add options if needed. They don't affect the amount until they are exercised.

  6. In the Attachments tab, upload the contract itself.

  7. Save.

The New contract window in Purchasing. 1: the Name field. 2: Supplier. 3: the cost lines with Status, Production code and Cost. 4: Save.

Which status should I choose?

  • Planned: The contract hasn't been signed yet, but you want the expected amount included in the forecast.

  • Purchased: The contract has been signed.

When a planned contract is signed, edit it, set the status to Purchased and adjust the amount to the final figure.

Good to know

  • The first time you register a cost on a production code, you get a notification about the remaining budget. You then choose whether the remainder should be written down or set aside.

  • A contract can have several cost lines, including on different production codes.

  • Add new contracts continuously as they are signed, so the final forecast is always up to date.
