How do I create a contract directly from invoice processing?

Open the linking dialog on the invoice and click the plus sign next to Purchasing. Enter the contract in New contract with status Purchased, production code and amount, save and link the invoice to it.

You can create the contract straight from the linking dialog on the invoice. Click the plus sign (+) next to the heading Purchasing in the list on the left. The contract is created as a purchase, and you can link the invoice to it right away.

How to do it

  1. Go to Invoice → Incoming invoice and find the invoice you want to link.

  2. Click Link, or the icon in the Invoice link column, to open the linking dialog.

  3. Click + next to the heading Purchasing in the list on the left. The New contract dialog opens.

  4. Fill in the contract details, and click Add under Costs.

  5. On the cost line, choose Purchased in Status, choose Production code and enter the contract amount in Cost.

  6. Save, and link the invoice to the new contract.

The New contract dialog, opened with the plus sign next to Purchasing in the linking dialog for an incoming invoice, with one cost line. 1 points to the status Purchased in the Status drop-down, 2 to the Cost field far right, where the contract amount is entered, and 3 to the Production code field. Save is at the bottom right.

Good to know

  • Use this when an invoice arrives on a contract that is not registered yet.

  • Enter the full contract amount, not just the amount on the invoice. The next invoice on the same contract you link to the same contract.

  • The status options on the cost line are Planned, Ongoing and Purchased.

  • The contract appears in Purchasing, where you can fill in the rest of the details.
