How do I keep the final forecast at estimate level before the contracts are signed?

Enter planned purchases with the estimated amount (status Planned). The final forecast then matches the estimate until the contracts are signed.

Enter planned purchases with the estimated amount and status Planned on the codes that have not been contracted yet. The final forecast then matches the estimate until the contracts are signed. This is especially useful when a production code has several purchases and only some of them are contracted.

Why is this needed?

If a production code has no purchases, the budget drives the final forecast. As soon as you enter the first contract, the purchases take over. If you have only contracted part of the code, for example the plumber on a code for technical trades, the final forecast drops to the contract amount, as if the rest of the budget had been saved.

How to do it

  1. Open the production code in Prod. codes, or go to Purchasing.

  2. Create a new purchase for what remains, for example «Electrical work».

  3. Set the status to Planned.

  4. Set the amount to the expected cost. For a contract, you can set the planned value equal to the estimate with one click.

  5. Save. Under the Summaries tab on the production code, you can see which purchases the final forecast now consists of.

  6. When the contract is signed, change the status to Purchased and adjust the amount to the final one.
