Why does Posted show zero in the billing schedule?

Posted is only filled in when the outgoing invoices are linked to the billing schedule. Link the instalment invoices to the schedule under Invoice → Outgoing invoice.

The blue line for Posted in Billing Schedule Client is only filled in when the outgoing invoices are linked to the billing schedule. If it shows zero, the invoices are not linked. Go to Invoice → Outgoing invoice and link the instalment invoices to the billing schedule, and any change order invoices to the correct Change Order Client.

How to fix it

  1. Go to Invoice and the Outgoing invoice tab.

  2. Show the invoices that are not linked.

  3. Click Link on an instalment invoice and select the correct line in the billing schedule.

  4. Link invoices for change work to the correct Change Order Client.

  5. Go back to Billing Schedule Client. Posted is now shown in the chart and table.

The legend below the chart in Billing Schedule Client. 1: Production value (green). 2: Invoice amount. 3: Posted (blue), which shows zero until the invoices are posted.

The colours in the chart

  • Green: produced value (production value)

  • Red: what is invoiced (invoice amount)

  • Yellow: withheld amount

  • Blue: what has actually been posted

Good to know

  • When the invoices are linked to the schedule, the liquidity picture also becomes correct, because the invoices are placed on the instalments.

  • To see accumulated cash flow, i.e. incoming minus outgoing payments for the whole project, use Liquidity, not the billing schedule.
