What happens in AIMZ when we change accounting system?

Agree on a clear cutoff date, create a conversion table for the production codes on existing projects, and notify AIMZ in good time, and we will do the switchover.

When you change accounting system, the integration with AIMZ must be switched over. The most important things are a very clear cutoff date for when invoices are fetched from the old and the new system, and a conversion table for the production codes on the projects already in AIMZ. Notify AIMZ in good time, and we will do the switchover for you.

How to prepare for the change

  1. Decide on a cutoff date. It must be completely clear from which date invoices are fetched from the new system. This avoids duplicate invoices or invoices that fall between the systems.

  2. Create a conversion table. If you get a new chart of accounts or production code plan, the projects create a before/after table showing which old codes become which new ones.

  3. Notify in good time. Send the confirmed date to AIMZ a couple of weeks before the change.

  4. Let AIMZ do the conversion. We do the switchover, so it is correct on all projects, instead of each project manager doing it themselves.

  5. Clarify the invoice reception register. Check with the supplier of the new system that AIMZ gets access to invoices registered on receipt. Otherwise you only see the invoices once they have been processed.

The Advanced tab on a production code. 1: the Advanced tab. 2: the System prod. codes for invoice integrations field, which links the accounting codes to the production code. 3: the help text for the field. 4: Save.
