Is the expense item in Setup and Operation updated when I make a transaction?

No. Transactions are made on the production code, and a production code can have several expense items. You have to adjust the budget on the right expense item yourself.

No. A transaction moves budget between production codes. A production code can have several expense items in Setup and Operation, so AIMZ does not know which item should be changed. You therefore adjust the budget on the expense item yourself.

How to do it

  1. Make the transaction on the production code as usual.

  2. Go to Setup and Operation and find the relevant expense item, for example crane rental.

  3. Open the expense item by clicking the name or the pencil on the row, and go to the Cost Price Estimate tab.

  4. Click the icon to the right of Remaining rev. Cost Price Estimate and enter the change in the Adjustment rev. Cost Price Estimate field (at your company, "cost price estimate" may be called "budget").

  5. Distribute the deviation across the months, and save.

The Cost Price Estimate tab on the Rental expense item in Setup and Operation, with the distribution box open. 1 points to the Adjustment rev. Cost Price Estimate field, where the budget on the expense item is adjusted, and 2 to the buttons Distribute remaining cost price estimate evenly and Distribute monthly cost price estimate evenly, which distribute the deviation across the months.

Good to know

  • Be careful with the accrual in months that are already closed. Put the deviation in open months.

  • If the production code has only one expense item, it is easy to see where the change should go. If it has several, you must choose the right item.

  • The budget in Setup and Operation should match the revised budget on the production code.
