Should I have one or several expense items per production code?

We recommend one expense item per production code. That way invoices can be routed automatically. Several items on the same code require separate financial accounts per item.

We recommend one expense item per production code in Setup and Operation. Invoices must be routed to an expense item, not just to the production code. With one item per code, invoice matching can happen automatically. With several items on the same code, it only works automatically if the chart of accounts has separate financial accounts for each item.

When do several items per code work?

If the chart of accounts has separate financial accounts for each sub-item, for example one account for electricity and one for cleaning, you can link each expense item to its financial accounts under Advanced. Invoices are then routed automatically even with several items. Still, the chart of accounts rarely matches the expense items that well.

How to set it up with one item per code

  1. Go to Setup and Operation and open the settings.

  2. Turn on Unique production code for each expense item. Then only the production codes are accrued.

  3. Create one expense item per setup and operation code.

  4. Turn on automatic invoice import on each expense item.

The Edit forecast settings window in Setup and Operation. 1: the Unique production code for each expense item option.

Good to know

If you have several expense items on the same code, the table can be grouped by production code so you see the items together.
