Why do drafts from the change management system show up in AIMZ?

Change orders that only exist as drafts in the change management system can end up in the approval queue in AIMZ. Do not approve them until they have been sent to the client.

Change orders that only exist as drafts in the change management system, and have not been sent to the client, can still end up in the approval queue in AIMZ. You should not approve these.

Why does this happen?

The integration fetches change orders from the change management system, including those still in progress. Since change orders from the change management system must be approved in AIMZ before they count, a draft does not affect the final forecast as long as you leave it.

How to do it

  1. Go to Change Order Subcontractor or Change Order Client and look at the change orders waiting for approval.

  2. Compare with the change management system: Is the change order just a draft that has not been sent to the client?

  3. If so, do not approve it. Approve it only when it has been sent and is ready to count in the forecast.

The Change Order Subcontractor table in AIMZ. 1 points to the Change Order Subcontractor tab, 2 to the Status column, where a change order with the status Claim is highlighted (tooltip "Claim"), and 3 to the Filter button that can be used to filter the list.

Good to know

  • Drafts that have not been sent to the client should not go into the forecast.

  • If you are unsure whether a change order is a draft, check the status in the change management system before you approve.

  • If you see many drafts in the queue, contact AIMZ via the chat.
